Before you book

Please ensure that you read and accept our terms and conditions as they contain information pertinent to booking, cancellation and your stay with us. When you book you are entering into a contract with us and it will be deemed you have accepted our terms and conditions.

BOOKING AND PAYMENT POLICY

Bookings can only be accepted from persons over the age of 18 and at least one adult over the age of 18 must be staying in the accommodation. A non-refundable deposit of 30% of the total cost of your stay will be payable at the time of booking. Upon receipt of a booking confirmation email, a contract will exist between yourself and Hollow Oak Glamping Ltd. The full balance will become due 30 days before your stay, however, the full balance may be paid at the time of booking. An email reminder will be sent to you before the balance payment is due.

If a booking is made less than 30 days prior to your stay, full payment is required at the time of booking. Where payment is not received by the due date, we reserve the right to cancel your booking and retain the deposit.

Bookings amendments are at the discretion of Hollow Oak Glamping and must be requested in writing. We cannot guarantee that we can meet requests for amendments. An administration charge of £20 will be payable.

Booking are made via our booking platform Bedful. Prices are inclusive of VAT.

Booking confirmation and email correspondence will be sent to the address provided by you at the time of booking. Please check your booking confirmation email when it arrives and notify us immediately of any errors. The number of guests must not exceed the number stated at the time of booking. Any additional guests may be asked to leave or charged.

CANCELLATION POLICY

Any cancellation request must be received in writing. In the event of a cancellation, the booking deposit of 30% is non-refundable. If the cancellation is made within 30 days of your stay the full balance remains payable. Guests who fail to show for any reason will not be eligible for a refund. We cannot offer refunds where cancellation is made due to inclement weather or illness. We strongly advise that you arrange suitable travel insurance to cover unforeseen circumstances.

 

Where cancellation of your booking is made by Hollow Oak Glamping, for reasons beyond our control, then a full refund will be issued. Alternatively, you will be offered to rebook your stay, subject to availability. We do not accept liability for refunds or expenses incurred as a result of cancellation of a booking due to circumstances beyond our control. Refunds will be strictly limited to the total sum paid to Hollow Oak Glamping by yourselves.

Hollow Oak Glamping reserves the right, without a statement of reasons, to refuse or cancel a booking. 

 

Hollow Oak Glamping are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your booking as a result of circumstances beyond our control.  Such circumstances shall include (but not be limited to) war, terrorism, serious crime, industrial action, flooding, natural disaster, epidemics or such similar events (“Force Majeure”). We recommend that you have suitable travel insurance in place to cover this.

Covid-19 - The following condition applies if we are not able to accommodate your booking due to COVID-19 ‘lockdown’ restrictions, or if you are not able to attend due to restrictions in other countries or because you need to self-isolate: Any payments you have made (whether deposit or full balance) are not refundable, although they can be used instead towards a new booking within the following 12 months. An additional charge may be payable if the booking is moved to a weekend or school holiday (where a mid-week stay was booked).

LIABILITY

Hollow Oak Glamping do not accept liability for any injury, loss, damage to persons or personal property including vehicles and bicycles during your stay except where it has arisen as a result of our negligence.

CLEANING

Cleaning and laundry costs are included with your booking.  Any additional cleaning necessary after your stay may be charged to you.

ARRIVAL AND DEPARTURE

Check-in time is no earlier than 4pm (If you wish to arrive earlier to explore the surrounding area please contact us prior to your arrival). We operate a contact-less check-in system details will be sent in your booking confirmation email. A wheelbarrow/trug is provided for your luggage. Accommodation is a very short walk from the car park (30-40m). However, if you require assistance, please let us know. Lighting is limited so please bring a torch.

 

Check-out is 10am. Please leave the accommodation tidy and clean and place your rubbish in the bins situated in the car park. Keys must be left in the key safe box outside your accommodation.

PARKING

Car parking is limited to one space per party. Vehicles cannot proceed beyond the car park along the path. In the interests of safety, vehicles are not permitted to drive up beyond the wooden gate to the farmyard.

YOUR ACCOMMODATION

Please let us know of any issues with your accommodation or if you have any questions or concerns when you arrive.

In order to maintain our high standards, we would be very grateful if you would please remove shoes and boots before entering and leave them in the boxes provided.

It is the responsibility of guests to familiarise themselves with instructions (in your Welcome Pack) when using items such as the oven, induction hob and electric BBQ. Please seek advice if needed. Children are not permitted to use these items and must be supervised. Hollow Oak Glamping will not be held responsible for injury to persons or damage to property which is caused by misuse of these items.

 

We reserve the right to gain access to the cabins without prior notice for the purpose of maintenance or inspection if it is deemed necessary.

PETS

As our cabins are set within a working farm, we regret we have a no pets policy. 

NOISE

In the interests of guests, we have a no noise policy between the hours of 10pm and 8am. Please keep any noise to a minimum during these hours.

CAMPFIRES, BBQ's, CANDLES AND LANTERNS

Due to the cabins being built entirely of wood, campfires, barbeques, tealights, candles or lanterns are not permitted. An electric bbq, solar lanterns, torches and fairy lights are provided for your use. We have a shared firepit area down by our stream, please ensure you read and understand the safety sheet before lighting a fire.

SMOKING

No smoking (including vaping and e-cigarettes) in the cabins or on the decking. Smoking is only permitted outside over 3m away from the decking. 

VISITORS

For your comfort and safety, non-paying guests are not permitted on-site unless expressly authorised by the site owners.

THE FARM AND ANIMALS

Hollow Oak Glamping is set within Brynffanigl Uchaf, a working farm, and as such at times there may be noises and the occasional smells associated with this. The farm is only accessible through the wooden gate on the drive which must remain closed. There is no unauthorised or unsupervised access to the farm or outbuildings and anyone found to be in breach of these rules may be asked to leave with no refunds offered.

You are very welcome to come and meet the animals, but by arrangement with the Owner who will be very happy to show you around and talk to you about the farm. Children must be supervised by an adult at all times on and around the farm. Please only feed any animals with animal feed provided by the Owner.

SITE AREA AND NATURAL ENVIRONMENT

Please be aware that there is a stream running along the bottom of the site. The entrance is clearly marked by a sign. Children must be supervised by an adult near to or in the stream.

Lighting on the site is kept to a minimum to maintain the rural environment. It is advisable to carry a torch whilst walking around the site at night.

​

Please place any litter in the bins provided to look after the natural environment.

​

Please take all reasonable precautions to ensure the health and safety of you and your party. This includes observing signage and information provided.

DAMAGES AND BREAKAGES

Please inform us of any damage or breakages before or during your stay. This will ensure that the accommodation remains suitable for all guests. Whilst reasonable wear and tear is to be expected, we may seek replacement costs for damage or loss of items where it is reasonable or where the damage or loss has been deliberately caused. We reserve the right to make a charge to the booking payment method.

COMPLAINTS

If during your stay you encounter any problems or issues that require our attention please speak to us and we will endeavour to put it right. We welcome feedback and ensuring guests enjoy their stay is our priority. We can be contacted by phone/email and will respond to any issues raised in a timely manner.
